Hot Lunch Volunteer Coordinator

Summary:

Recruit, organize and manage volunteers and daily lunch leads for the hot lunch program.  This position is busiest in the summer to mid fall.
This position is great for someone who is a “people person” as you need to be recruiting heavily in the spring and summer before the upcoming year.

Recruiting:

  • Contact the volunteers/daily lunch leads already in place and see if they wish to volunteer again the following year offering them their choice of day.
  • Advertise weekly in the pink section asking for volunteers until you fill your volunteer quota.
  • Set up and run a volunteer recruiting table at the welcome coffee the first day of school.  Its nice to have a separate sheet for each day with the names of the volunteers already in place so you know what days you need to recruit for the most.   Make sure you get the volunteer’s email and phone number along with their name.
  • Put on your recruiter hat and go up and ask people around campus.  Most people will have a hard time saying “no” to your face.

Organizing Volunteers:

  • You will need to assign volunteers to specific days.  The best way to do this is to ask them what days they would be interested in working and then assign them to their first choice, if there is room.
  • Once you assign the volunteers you will need to create daily (Monday, Tuesday, Wednesday, Thursday, Friday) excel sheets with the names, phone numbers, and emails of the volunteers assigned to that day and break them up into teams of two (6 people per team not including the lunch head).  There will be excel spreadsheet examples included in your folder.  Then you need to look at the master calendar for the upcoming school year and assign the teams their day each week for the entire school year making sure you alternate each team so that they are working every other week (twice a month).
  • You will need to send out the excel sheets to all volunteers so that they know their assigned team, their daily lunch lead and the days they are scheduled to work. 

Managing volunteers:

  • You will need to train the volunteers the first week or two of school.  See the instructions in your folder.  Most likely last year’s coordinator will train you so that you know what to do.  You want to make sure all the volunteers know how to set up, serve and clean up properly.
  • You will manage the teams basically by communication with the daily lunch lead for that day.  The daily lunch lead is in charge of a day and the two teams who volunteer on that day.  You need to check in with the daily lunch heads periodically to make sure everything is running smoothly.
  • You will also need to email any pertinent information that concerns the lunch teams. 

Basically this job is recruiting and managing the volunteers, communicating with the vendor liaison on any lunch related issues and also making sure the kitchen is kept clean and organized.
