Summary: The Room Parent Coordinators enlist volunteers for Head Room Parent(s) and Room Parents for each classroom that will act as support for their teachers, communications lead between teachers and other parents in their classroom and liaisons between the administration, PTA, Foundation and Eco Hawks.
The coordinators provide overall guidance and communication to HRPs through an electronic HRP network. They act as an ongoing resource to the Administration and the Faculty, the Foundation and PTA in engaging the HRP Network in activities and disseminating information through the HRP network.
Calendar of Responsibilities – Volunteer Coordinators:
August
• Prepare contact information for class designation letter and send to Principal and Vice Principal.
• Get staff and class lists from the front office.
• In preparation for "Sign Up Fair" on first day of school
-----Make sign up sheets for each class.
-----Make sign up banner and small sign for table.
• Call Volunteer Coordinator to make sure you have a table for the Sign-Up Fair.
• Submit a recruitment notice and orientation date in the first Pink Section
• Update HRP templates and Roles and Responsibilities documents
First Day of School / Volunteer Sign-Up Fair
• Man table at volunteer Sign-Up Fair. Separate sign up sheets by grades. Goal is to have all HRPs named by Back to School Night.
First Weeks of School
• Actively recruit for volunteers if needed. Article in pink section and make phone calls. Can have sign up sheets at Back-to-School night, if HRPs aren't already in place. Call to confirm sign-ups.
• Create a master list of Head Room Parents and distribution list by grade (copy to Principal, Vice-Principal, PTA Co-Presidents, your committee head)
• Confirm each HRP with corresponding teachers
• Check with Principal and PTA Co-Presidents to make sure that there are no changes that they want to make to HRP roles and responsibilities and templates.
• Schedule Head Room Parent Orientation prior to Back to School Night.
Work with Principal to select a date(s).
Reserve staff room with either Lyndia or Katherine.
Set agenda. This orientation is to give an overview of Head Room Parent responsibilities. Usually a PTA Co-President, the Principal, Health and Safety Lead, Lice Check and a Foundation representative will speak in addition to you.

-----Provide refreshments.
September-October
• Send grade-level e-mails to all HRPs giving them all the other HRPs e-mails in their grade.
• Send out an email to all Committee Heads, teachers and the PTA board members reminding them that you can send out e-mails for specific requests or announcements through out the year.
November, January, End of April (or as needed)
• Set up the first of three meetings to facilitate the sharing of information between HRPs. The meetings should be divided Kindergarten through 2nd and 3rd through 5th and should last about 45 minutes. Check with Principal about date and location.
• Here are proposed topics.
------Nov - class parties, field trips
------Jan - communication between the teacher and HRPs and between the other parents and HRPs
------April - end of year wrap up, teacher gifts
• The idea of these meetings is to share ideas between room parents. Other subjects can be discussed as well. It would be good to have some general information on the subjects to start off the meeting. Advertise meetings in the pink section.
March
• HRP Appreciation Breakfast. Host an appreciation breakfast for the HRPs. Principal, Vice Principal and PTA presidents to speak.
May
• Non-classroom Aid Fundraising. Solicit funds for all the non-classroom teachers and aids that might not ordinarily get a year end gift from the parents (ex custodians, administrative staff, music, art, motor skills, science, speech, library etc)
ONGOING
Send e-mails/call Head Room Parents as requested by PTA board, Principal, teachers or Committee Heads to disseminate information to their classroom parents, solicit volunteers, coordinate class specific fundraising and needed classroom items.
