Kindergarten Registration

Summary:

The Kindergarten Registration Volunteers coordinate the Kindergarten Registration Day. It is helpful to have at least three volunteers to each take an area of responsibility: Publicity, Speaker/Attendee Liaison, and Coordinator (see below).

  • PTA representative will schedule initial meeting after Winter Break (4-6 weeks before event, which takes place in early February).
  • Committee members will have weekly meetings as needed to discuss duties and progress. The conference room in the school office can be reserved by writing date and time of meeting on calendar in conference room.
  • All committee members will help collate registration packets at an agreed upon date and time (takes 2-3 hours). Lyndia does copying for packets except for PTA and CMLSF information. Covers for packets will be coordinated by Liza Matthews.

PUBLICITY

  • Corte Madera Recreation Center readerboard stating date and time of event (Lyndia schedules this; verify that it has been done). Notice will be posted on BACK SIDE of readerboard (2-3 times prior to event) since we don't pay for it.
  • NC readerboard (contact PTA representative to ensure that dates have been scheduled).
  • Hall readerboard (e-mail Daniel Norbutas at dnorbutas@marin.k12.ca.us) stating date and time of event (have it announced two and one week prior to event). Make sure that he knows to post it as "Kindergarten Registration" NOT "Kindergarten Open House," which takes place later in the school year.
  • Notify all local preschools re event (Lyndia does this; verify that it has been done).
  • Create flier and distribute to all major local businesses and at CM Rec Center (may use template from prior year).
  • Press release to IJ and Twin Cities Times regarding date and time of event (Lyndia does this; verify that it has been done).Check PTA signs in storage containers behind gym to determine if others need to be created based on master list (laminating machine available in office copy room):
    • No Parking in School Lot: Parking for Neil Cummins Kindergarten Registration at Town Park or CM Rec Center; post on sandwich board at entrance to school lot on day of event
    • Welcome sign for front door of gym
    • Signs on campus (near office and drop-off loop) directing people to gymnasium
    • Sign stating date and time of event; to be posted on sandwich board on intersection of Mohawk and Tamalpais one week in advance
    • For school tour meet here at 4:30
    • Place completed forms here (2 signs + 2 boxes to put forms in)
    • Registration packets will be given out after orientation (needs to be made)
    • Check-in
    • Plant the Seeds of Learning and Watch Them Grow (placed on stage on the day of event)
    • 4 sandwich boards are in the Volunteer Office
    • Responsible for posting signs on day of event
    • Make 2 dozen cookies, as needed
    • Collect and put signs away after event

SPEAKER/ATTENDEE LIAISON

  • Coordinate speakers, display boards with Liza Matthews (have her check over the display boards prior to event for missing pieces). Display boards are kept in office closet. Liza will also coordinate creation of packet covers with kindergarten teachers.
  • Coordinate slide show with Megan Kelly.
  • Verify that Marilyn and Lyndia have created an agenda.
  • Contact PTA and CMLSF reps to get letter to put in packets (request 200 copies of each form that they want included).
  • Contact PTA and CMLSF presidents to confirm that they will have a speaker present.
  • Contact Spirit Wear committee to see if they want to have a display table at the event.
  • Request reps from CM Rec (Phone # 927-5072) and Twin Cities Day Care (Tricia, Phone # 924-6630 or 924-6622) to attend. They will have a table for their info in the back of the room.
  • Get up-to-date district list of addresses for verifying that attendees live in district (Lyndia will provide on day of event).
  • Complete custodian work orders for chairs (200), tables (10), PA system (Lyndia has form), technical equipment as needed, and submit floor plan (may use template from last year).
  • Get name tags for all speakers and volunteers to wear (Lyndia may have some from last year), 2 dozen pens for check-in desk.
  • Make sure chairs and tables are set up according to floor plan (janitor sets them up prior to event):
    • 1 for check in
    • 2 for refreshments
    • 2 for kindergarten teachers displays
    • 1 for spirit wear
    • 1 for Rec center and Day Care info
    • 1 for completed forms and registration packets
  • Order and get balloons (2 dozen yellow and blue) for day of event.
  • Buy supplies: napkins (150), cups (150), 4 large paper table clothes (yellow and blue), 16 large bottles of water (8 regular, 8 sparkling).
  • Submit invoice(s) to PTA treasurer for reimbursement.
  • Make two dozen cookies, if needed

COORDINATOR

  • Verify time and date of event with Lyndia and Marilyn.
  • Put in submissions for Pink Sheet FOUR weeks and then ONE week before the event (must be submitted by Wednesday, 3pm prior to the week it will run); submit it in the Hall Middle School newsletter as well for one of the weeks. It should run in the Calendar Section of the Pink Sheet every week. Submission should request volunteers as needed, state date and time of event, for Larkspur School District only, spread the word (tell friends and neighbors), for adults only (see example from 2006). Pink submissions can be made by going to NC Elementary School web site (http://www.neilcummins.org/submitbpm/item.htm).
  • Recruit and confirm committee members, insure that there are adequate numbers.
  • Organize and set up food/drinks; make two dozen cookies, if needed (need total of 150 cookies).
  • Ask Alicia Kepler to solicit cookie/drink donation from Paradise Market.
  • Confirm budget with PTA president ($75).
  • Coordinate meetings with committee members; act as contact/resource person for committee members, PTA, CMLSF, etc.
  • Coordinate date for collating packets; verify that there are 200 each of necessary forms and packet covers prior to date (check with Lyndia).
  • Make assignments for volunteers and clarify their duties
    • 4 for collating packets
    • 3-4 for set up (meet in gym 1 hour before event)
    • 2 to check addresses and hand out/take completed forms (before and after event)
    • 1 at refreshment table
    • 2 for tours after
    • 3 for clean up (Janitor will put away chairs and tables)
    • Assist committee members as needed.
    • Update written summary of Kindergarten Registration as needed after event.

DAY OF EVENT

  • Committee members meet in gym for set up one hour in advance.
  • Information sheet and packets are ONLY given out to persons living in the Larkspur School District. Children must be aged five years by 12/2 to start kindergarten.
  • Addresses verified and information sheet given at check-in; let people know that packets will be handed out after information form completed and presentation finished.
  • Packets should be kept out of reach - some parents get a little impatient!
  • When information forms are returned, verify that they have checked box at top if they definitely may send their child to NC
  • School tours will be led by PTA reps after speakers are finished.
