Summary:
VP of Fundraising will oversee the following committees:
Contact each of the Committee Chairpersons at the end of the prior school year to introduce yourself and explain the goals of the committee; communicate dates, expectations and budgets. Additionally, contact each committee chairperson 3-4 weeks prior to event (or at least quarterly for ongoing committees), in order to check in on needs for the following:
- Food for the event
- Additional volunteers
- Supplies
- Budget: budget dollar amounts and itemize bills
- Publicity:
- Pink Section: verbiage for write ups in the Pink Section
- Flyers: number and verbiage of flyers in backpack mail
- Communications Board: need for communication on the board in front of the school
- Event specific:
- Spellathon: Work with the PTA Board to determine how Spellathon funds will be targeted and communicate this to the Spellathon Committee Chairpersons at least 4 weeks prior to printing of spellathon materials (see Spellathon Notes)
- Holiday Store: Logistics of set-up - including janitorial help
Communications
Help write or give advice on any and all communications.
Communicate progress to the board on the committee needs and progress.
Calendar of Responsibilities:
Throughout the year:
- Spirit Wear: Sold throughout the year
- Boxtops: Collected throughout the year. See Boxtops job description for deadlines.
- Popcorn Sales: Conducted throughout the year on an ad-hoc basis.
September/October (early Fall)
- Outdoor Ed/Greenraising Sales: Sales take place early in the Fall (September) to help fund 5th Grade Outdoor Education. Distribution takes place late Fall.
December:
- Holiday Store: Usually early December
Helpful Tools & Tips:
- Most important tools used are e-mail and often follow up with a phone call.
- Need to be able react quickly and help manage people who are doing their job on a volunteer basis.
- Send reminders and thank you notes.
- Need to be aware of school calendar and stay on top of any changes.
- The ability to be very flexible is a necessity.
- Attend monthly Board and General Membership meetings and serve as a liaison between the Board and the VP of Fundraising committees.
