VP:5 Vice President - Volunteer Coordinator

Summary:
As Vice President, Volunteers, you have responsibility over four main areas:

  1. Volunteer Coupon Book (distributed in 2nd backpack mail in September)
  2. Welcome Coffee on the first day of school from 8:10-10:15 (approximately)
  3. PTA Membership Drive
  4. Head Room Parent Coordinators
  5. Committee Head list and recruitment

 

As VP - Volunteers, your primary job is to help recruit volunteers for various PTA committees and PTA-sponsored events throughout the year.  This is partly accomplished through the Coupon Book and the Welcome Coffee.  The Coupon Book is created and printed over the summer, ready for distribution the 2nd week of school.  As people turn their coupons back in, the VP – Volunteers files and distributes them to the appropriate party.  The Welcome Coffee takes place the first morning of school in the gym.  The aim of the Welcome Coffee is twofold – to recruit volunteers (especially for Homeroom Parents and lunch) and to bring the community together after summer break.

The VP Volunteers also oversees the PTA Membership Drive.  Membership is run by 2 co-chairs – one handles the PR side of things, while the other manages the database.  Membership recruitment takes place mostly during Back to School time (August – October).  It is key to get people to join the PTA as part of their Back to School efforts, or it doesn’t seem to happen.  The  VP-Volunteers helps in this effort by assisting at the sign-up table during New Parent Orientation, Back to School Night, the Welcome Coffee, PTA General Meetings, etc… It is imperative to get teachers to help by having them ask parents to join the PTA during their presentation at BTS Night.  The VP also acts as a liaison between the NC PTA and the State/County PTA by helping transfer member data and dues to the state level.

In addition, VP – 5 also oversees the Home Room Parent Coordinators.  The VP helps recruit HRP’s and attends/helps with the HRP Orientation at the beginning of the year.  During the year, as issues come up, VP-5 acts as a liaison between the HRP’s and the PTA Board and/or NC Administration.  The VP – Volunteers hosts a Homeroom Parent Orientation in February to thank the HdfRP’s and the HRP Coordinators.  This is also an excellent time to recruit people for PTA jobs the following year.

The VP – Volunteers also creates and maintains the Committee Head list and recruits for these positions.  This is done through write-ups in the Pink, announcements at General meetings, phone calls, emails, etc…   

As a PTA Board Member, the VP attends monthly PTA Board meetings and General meetings. At the beginning of the year, goals are set forth for each VP and for the PTA Board as a whole.  These goals and additional projects add to the basic responsibilities of the VP.

Timeline – The VP – Volunteers positions is very front loaded with most of the work taking place around Back to School time (Aug – October).  The end of the school year is focused mainly on recruiting positions for the following year.
