Summary:
The Yearbook Coordinator is responsible for organizing, planning and making the school-wide yearbook. It is easier if two people share this job.
Calendar of Responsibilities:
- THROUGHOUT THE YEAR
- Have photographers take pictures at every event possible.
- August/September
- Decide on theme and format of yearbook.
- Call Lifetouch Publishing. Lacey Burdette is our contact there. Find out when the yearbook seminar is. Arrange to have a meeting with her.
- Decide on total number of pages and how many will be in color or black and white. Also decide if we want a supplement.
- Decide on number of yearbooks to order.
- Sign contracts.
- Decide on price of yearbook.
- Put coupons in Fall volunteer coupon book for 1-2 photographers, someone to be in charge of sales/money, and 2 creative people.
- Put picture box in volunteer office and put article in pink section asking for photos. Make sure people know they can't get them back.
- October/November/December
- Hold cover contest. Give all covers to principal for teachers to choose winner. Hold first sales event and announce winners in the pink section. Have principal announce on loud speaker. Decide what prizes to give out. Can coordinate with a popcorn sale.
- Coordinate with the Lifetouch and principal to have photographer at school for a day to try and cover every class and activity. Arrange for class level photos at the same time. A work order will need to be filled out for the risers. Make sure to have extra rolls of film on hand.
- Choose what month to have as "Yearbook Sales Month." Hang posters and advertise in Pink Section. Sell yearbooks one day a week for a month. Have little giveaways when someone buys one. Need two people each days to sell them. Have change, poster, pens and table for each sale.
- Hand all money for one person to keep track of sales. Lifetouch will pick up money when we need them to. We had a grade level contest. The grade that bought the most yearbooks got popcorn delivered to their classroom.
- Start putting color pages together.
- January
- Finish color pages.
- Cover art and color pages are due mid-month.
- Compile sneak preview of pages to display.
- Start working on portrait pages and grade level pages. Match all names with photos, make sure spelling is right and include all children and staff who have no photo.
- Put coupon in Spring volunteer coupon booklet for 5 people to help distribute yearbooks the Monday of the last week of school.
- February
- Portrait pages and grade level pages are due at beginning of month.
- Put another article in Pink Section asking for photos.
- March
- Put black and white activity pages together.
- April
- Black and white activity pages are due at the beginning of the month.
- Put supplement pages together if there is going to be a supplement.
- Supplement pages are due towards the end of the month.
- May
- Put articles in Pink Section letting people know how many yearbooks are left to preorder.
- June
- Call all volunteers to set up time to meet and distribute yearbook.
- Distribute yearbook to all classes. Yearbooks also go to the principal, vice-principal and library.
- Hold yearbook sale the Monday of the last week of school if there are still yearbooks to sell.
- Turn in last of money to Lifetouch. If there is a surplus they will refund us a check. If we owe them money then request a check from the PTA.
Helpful Tools & Tips:
- There should be at least 2 photographers to try and take pictures at all of our events as well as every day class pictures.
- One person in charge of sales is needed. They can plan the sales campaign and keep track of the money.
- There should be 2-3 creative people to help put the pages together.
- Lifetouch provides:
- a free yearbook seminar in Santa Rosa.
- a photographer to come to school and take 9 rolls of film.
- 10 rolls of free film. I would recommend not using it. The quality of the pictures we took were poor.
- Lacey, our Lifetouch representative, is available by cell phone at any time.
- If you use Webease everything can be done on the computer and pictures will be returned.
